Paper submission, registration and payment

How do I submit a manuscript to the conference?

The submission of manuscripts and the review process at the conference is conducted exclusively online. Please visit the registration page at (https://cms.plasys.earth/user/register) and create an account. Then, after logging in to the website, you will be able to submit your manuscript after choosing the link Submit new full paper.

How much are the registration fees?

How can I pay the registration fees?

Payments for the registration fees for PLASYS24 are processed through the eCommerce service provided by Alpha Bank Greece. Through Alpha Bank eCommerce we are accepting Credit card payments and bank-to-bank transfers.

Payment confirmation along with the payment documents (invoice and proof of receipt) is sent by e-mail to the email address provided by the Customer, after acceptance of the payment (by credit card) has been processed by the bank.

In the case of bank-to-bank transfer, the payment documents (invoice and proof of receipt) are sent by e-mail to the email address provided by the Customer as soon as the payment is confirmed and usually within a week.

Can I cancel my registration for the conference?

Notice of cancellation must be prepared in writing and sent by email to plasys@plasys.earth. PLASYS24 will refund fees as soon as possible and no later than one (1) month after the conference has concluded. Please also refer to the refund rules in case of cancellation.

Will I be refunded if I cancel my registration?

Cancellation rules apply. You will not always be fully or partly refunded.

  • Cancellations received by close of business 18:00 CET on 10 June 2024 at the latest: Full refund of fees paid less an administrative fee of 10%.
  • Cancellations received by close of business 18:00 CET on 15 July 2024 at the latest: 50% refund of fees paid.
  • Cancellations received after close of business 18:00 CET on 15 July 2024: No refund can be made.
Can someone else attend instead of me?

Substitution Policy: Registrants may send a substitute in their place without requesting a refund.

 

What if something happens and the conference is canceled?

In the event of a cancellation of the conference, due to unforeseen events, all registrants will receive a full refund of any registration fees paid. 

Does registration fees cover my travel / VISA expenses?

PLASYS24 is not responsible for travel expenses or penalties under any circumstances, other than those explicitly stated as covered by the registration fees.

Is early bird registration available?

Yes, and it is saving you money. Also by registering in time for the early-bird fee, it helps us best plan the conference programme and optimally allocate you in the mist relevant sessions to achieve maximum benefit for all.

Can I make a name change to my registration?

Any change request needs to be addressed at the conference secretariat by email at plasys@plasys.earth. Please refer to the Paper id or Invoice/ receipt number in every communication.

Can I receive an invoice under my sponsoring Company/ Institution’s name?

Yes. If you require an invoice, please select the option INVOICE while registering. Once this option is selected, you will be asked to fill in the billing details of the company / institution the invoice should be issued.

Can I register for the conference without paying?

You can submit your registration without paying, but in this case, your registration fees will be subject to changes according to the respective deadlines. Please note that a registration will only be considered valid when fully paid.

Can I register before the early fee deadline and pay later?

To benefit from the early registration fee, full payment must be completed before the deadline expires.

Can I register onsite?

Onsite registration will be available with the relevant period fee in the conference secretariat during the conference days. However, it is mostly suggested for conference attendants and not authors/presenters. Important note: To include your paper in the program and the proceedings, registration and payment must be completed first.

What does my registration fee include? Are lunches, coffee breaks and/or dinners included in the registration fee?

Registration fees cover conference material, entrance to welcome cocktail reception, beverages, coffee breaks, lunch breaks and the official conference gala dinner.

Will I receive a confirmation letter after I have finished registering?

Yes. A detailed confirmation letter and invoice / receipt will be sent to you via email as soon upon submission of your details in the services online form.

 

Papers, Presentations and Posters

If I submit a paper do I have to attend the conference?

You only have to attend if you are the presenting author of an accepted paper.

Therefore, we encourage you to only submit your paper presuming you intend to attend the conference and present it.

I have submitted a paper, when will I know if it has been accepted?

All the authors will be notified of the final decision by early July.

How can I make changes to a paper I have already submitted?

You can send us an email at plasys@plasys.earth with the exact corrections you wish to make, or the revised manuscript with the changes tracked on it.

Is there a specific template I have to use to submit my paper?

Are there any guidelines for the presenters and the session's participants?
  1. General session format:

 

The general format of our sessions is organised as follows:

  • They last 90 minutes and are follows by at least 30 minutes coffee break or lunch.
  • Each session is around a plastic pollution thematic area and is managed by a Moderator.
  • Each Session features 1 or 2 Session Keynotes, followed by flash presentations (3-5).
  • Then we enter into a panel debate (‘Building consensus’), followed by questions and answers interaction of the panel with the session delegates (‘Ask the expert’).
  • Finally, we capture the pulse of the session via on-line voting (‘Crowd knowledge’) and the Moderator wraps up.

 

We will follow up within the next few days with detailed guidance on all aspects of your participation (i.e., panels / special curated sessions) – how to reach the venue – guidance for moderators and so on.

 

  1. As a starting point, here we provide you with core guidance on the format of your presentation.

 

Presentation type: There are three types of presentations:

P1: Plenary keynotes

P2 Session keynotes

P3 Flash presentations

  1. Duration:  All presentations are relatively short, and we ask you to engage in a short and sharp communication of bold messages. Let’s focus on what really matters! This format is designed to allow for sufficient time for genuine interaction, through panels, Q&A sessions, and lengthy enough breaks to freely exchange with the fellow experts and stakeholders. Out of respect to fellow presenters and delegate experts, you are kindly asked to strictly adhere to the proposed time – so that effectively interactive sessions are possible. Specifically:
  • P1: 15 minutes (indicative number of slides 17: featuring medium level of animation and detail in each slide, including one opening and one final slide:
  • P2: 8 minutes – 9 slides
  • P3: 4 minutes – 5 slides

 

  1. Structure: All presentations should feature the same generic structure, although there is much more liberty to follow your own approach for the P1 – Plenary keynotes.

The minimum structure, applicable to P3 is: Slide1: opening slide (title, affiliations); Slide 2: Context: core work/ research background, aim and assumptions; Slide 3: Main results / findings and conclusions / outlook; Slide 4: Methods/ approach/ validity of information presented, limitations / gaps/ further work needed; Slide 5: closing slide.

For P1 and P2: please expand at will following this basic structure.

If this structure does not work for you, do feel free to deviate, but still think which elements you could accommodate for.

 

  1. Software and template: We encourage the use of MSPowerPoint to avoid compatibility issues. We provide a Template with opening, body and closing slide types and we welcome their use.

 

You are advised to prepare the presentation and send it to plasys@plasys.earth until Monday 30 September 2024. In case you cannot make it, please make sure you arrive to the room 10 minutes before the session to upload it on the PC.

Invitation Letters

How do I apply for a Visa to come to Greece?

Visa regulations depend on your nationality and country of origin. We suggest that you contact your local Greek Embassy or Consulate for full and official instructions on the specific Visa regulations and application procedures that apply to you. Where can I get an ‘Invitation Letter’ so that I can apply for a Visa?

Invitation letters are being sent only to authors whose paper is accepted for oral/poster presentation in PLASYS24. Please keep in mind that the invitation letter does not ensure that a VISA for travelling to Greece will be issued.

You can download an Invitation Letter from the Conference Submission platform. After login to your account, you have to click on My Invitation letters on the left-side menu. Please keep in mind that not all authors are eligible for an invitation letter as being an author of the paper does not make you eligible for receiving an invitation. To make an author eligible for an invitation letter, please assign the person as a Presenting author or a Participant through the edit screen of your paper. Conference Venue and Directions

Where is the conference taking place?

Is there free Wi-Fi internet access available at the venue?

Yes, free Wi-Fi access will be available at the conference venue.

Does the venue offer access to those with physical impairment disability (wheelchair users)?

Yes. There is easy access to and within the venue for guests with impaired physical mobility, and the halls have specially designated areas for those using mobility aids such as wheelchairs.
